Rollup Multiple Boards update - additional filter support
Announcements 0 replies 1 likes 1 vote 447 viewsRollup Multiple Boards now support a brand new type of filtering. With filtering you decide which items from the low-level boards are taken into account when aggregating data to the high-level board. Use case examples are:
- You only want to show the total costs of items that are marked “reimbursable”
- You want to view numbers in two or more columns based on different "tags"
- You want to show just one date (key date) in the high level board
Filters are created with a recipe, for each filter type there is a new recipe available.
Item / Row scope filters: these filters work on all the recipes for a specific template, so all output values in your high-level board on the same row will show filtered data. This filter type was already available is a slightly different format. Existing filters will still filter as expected.
Column / Recipe scope filters: these filters can be given a name during the configuration of the filter and that name will show up as an option for the “Watch” recipe’s named filter selection (see below). The filters are configured by selecting a dropdown column in the template (this dropdown), a textbox with comma-separated values (this CSV list) and a name (filter). When the named filter is selected in the “Watch” recipe only those items that contain at least one of the values from the comma-separated list in the specified dropdown column will be used in the aggregation to the high-level board. The "tags" are case-sensitive.
New "Watch" recipes: all the "Watch" recipes used to watch a particular column in all low-level boards are extended with an option to select a named filter. The option provided are:
- Configured Item filter(s) - this options is always available and should be selected when you don't use filtering
- Any named filter you configured for the template
When you don't want to make use of filtering you need to select "Configured Item filter(s)", without an Item / Row scope filter configured all items in the low-level boards will be used in aggregating the data. This is the exact same behavior as in the version of Rollup Multiple Boards without filtering options.
Change default behavior: there is a small change how the app counts status values (e.g. when you request % of Done). Empty status (the default grey color that can't be changed in monday) values are now counted in the total. When you do not want to count these empty cells you can send an email to info@excellent-team.nl with your monday account URL.
How to get these new recipes: there are a few simple steps before you can use these new recipes:
- Make sure you update the app (Avatar > Admin > Apps) and click the update button next to the app
- Remove the current "Watch" recipes in your high-level board and add them again. You will notice the “Filter items by named filter” at the end of the recipe.
